Questions and answers
Microsoft 365 is a set of subscription plans that include access to the Office applications and other business services delivered over the internet (cloud services). Those services include calls and video calls in Teams, hosted business email with Exchange, and online storage in OneDrive.
The Microsoft 365 Business Standard and Microsoft Apps for business plans include the desktop version of the latest Office applications, which users can install on various devices and computers. The fully installed applications are Word, Excel, PowerPoint, OneNote, Outlook, Publisher and Access (Publisher and Access are available on PC only). You can install the applications on a range of devices, including PC and Mac computers, Android tablets, and Android and iOS phones. While you have an active Microsoft 365 subscription that includes the desktop version of Office, you always get the most current version of the applications.
The Microsoft 365 Business Basic plan gives you access to the web versions of the Office applications. They can only be used online, through a web browser, which makes the plan suitable for various parts of your business.
"The cloud" is a convenient way of describing web-based computing services that are held outside your organisation. When you use cloud-based services, your IT infrastructure does not sit on a server you maintain (locally, at home or in your office) but is maintained by a third party — it is hosted. With Microsoft 365, for example, the storage, the computation and the software all sit on servers owned by Microsoft and are managed remotely. Many services you use every day are part of the cloud, from web-based email to mobile banking and online photo storage. Because that infrastructure sits online, or "in the cloud", you can reach it from practically anywhere — from a computer, tablet, smartphone or any other device with an internet connection.
Your data remains entirely yours. If you decide to end your Microsoft 365 subscription, you can download your data beforehand — your email and the documents on team sites, for example — and save it elsewhere. You need to save the data before ending the subscription. After it ends, the data associated with your Microsoft 365 account stays available to your administrator in an account with limited functionality for 90 days.
